OFFICE ASSISTANT

JOB DESCRIPTION

The SWWC Office Assistant provides financial and operational support to the South & West Washtenaw Consortium (SWWC). The position is hands-on, extremely detail-oriented, and regularly communicates with a vast array of staff, departments, schools, students, parents, vendors, and external stakeholders.  The position requires a great deal of flexibility, autonomy, and excellent customer service as part of the vast team providing Career and Technical Education (CTE) opportunities for students.

QUALIFICATIONS
Required Education/Certification

  • High School Diploma required

Preferred Education/Certification

  • Associates' or Bachelor's degree in Business Management, Accounting, etc., preferred

Required Experience

 

  • Experience providing exemplary customer service to internal and external customers. 
  • Experience with general bookkeeping, accounting, and office management.
  • Strong computer skills and familiarity with Excel and Google Suite. 
  • Evidence of ability to establish positive working relationships with coworkers and all stakeholders.
  • Evidence of strong written and verbal communication skills.

Preferred Experience

  • Experience with Career and Technical Education.
  • Experience working with high school students.
  • Experience with PowerSchool.
  • Use of Informed K12 or other electronic document management systems.
  • Experience collaborating with staff and stakeholders across multiple locations within an organization.

RESPONSIBILITIES & DUTIES

  • Manage the execution and monitoring of SWWC budgets from development to teacher implementation, as set by the Director of the SWWC.
  • Manage budgets, spending, payments, and reimbursement requests.
  • Billing creation and monitoring revenues.
  • Develop, update, and manage applications and enrollment.
  • Assist staff with logistics and payment for CTE competitions, field trips, and travel.
  • Provide reports, rosters, and other PowerSchool support.
  • Provide reporting, data trends, and tracking to the administration to support decision-making.
  • Coordinate and communicate with participating school districts on calendars.
  • Assist with facilitation and management of SWWC promotion, recruitment, events, and industry partners.
  • Develop and execute new processes and procedures to help support the day-to-day operations of SWWC and the staff.
  • Prompt responsiveness in communication with staff and stakeholders.
  • Preserve the confidentiality of information.

ESSENTIAL DUTIES

  • Use of Microsoft Office Suite and Google Suite.
  • Effective and respectful verbal and written communication skills.
  • Organize multiple tasks and conflicting time constraints; work well under pressure.
  • Demonstrate exemplary attendance and punctuality.
  • Strong focus on providing equity and access to county-wide CTE programming.

PHYSICAL AND MENTAL DEMANDS, WORK HAZARDS

Work in standard office and school building environments requiring mobility, visual and auditory acuity, communication skills, interpersonal skills, organizational skills, problem-solving skills, adaptability, technology proficiency, physical stamina, and environmental awareness.

 

EQUIPMENT

Uses standard office equipment such as a personal computer, scanner, copy machine, and telephone.

 

TRAVEL

Some travel to and from meetings and other Washtenaw County schools is required.

 

WORK SCHEDULE

Eight-hour shift to be determined at time of hire.

 

FLSA STATUS

Non Exempt

TERMS OF EMPLOYMENT

  • 12-month, full-time employee.
  • A full benefit package as defined by the Saline Educational Support Personnel Association MEA/NEA Collective Bargaining Agreement (ESP contract).

SALARY

Determined by Group 5, Office Assistants, as defined by the Saline Educational Support Personnel Association MEA/NEA Collective Bargaining Agreement (ESP contract).
